New machines for guest photocopying

The Xerox technicians have set up the black and white Xerox devices on the main floor of McLennan and Redpath Room 17 so that Walk-in cards can be used on them as well as the 6400 devices. This addition to the machines will NOT be installed on the Cybertheque or Redpath Info-Commons machines.

PROCEDURE TO HELP MCGILL FACULTY MEMBERS WITH PHOTOCOPYING AND SCANNING
1.McGill professors who need to photocopy materials should be given a $2 card, if they don’t have one. These cards are a courtesy from the library to our faculty members until uPrint is available.

Because we need to report the usage, the form below will be created on the desktop of the computer in the center of the desk, with the name uPrint.

The User IDs will be entered when the cards are received. The file should be kept closed when no transaction is being recorded.

When we give out a card to a professor, we open the file, write down her/his name and the short date in the line corresponding to the ID number. Then we save the file and close it to prevent accidental erasure of information.

The cards are in a diskette box in the locked drawer where the keys are.When there are 2 ID cards left, Anna should be ask for additional cards, whose numbers should be added to the form.

Anna will copy the file in the U: drive weekly for future reporting.

2. McGill Professors who want to scan and email will be provided an iD number/password so they can login to uPrint. This ID/password (which corresponds to a card with no balance left) will be printed in slips to hand out to them. Slips are in a plastic container.

Professors should be made aware of the alternative of using the Spirit scanner to scan and save in a USB key free of charge. There is a Spirit scanner in Blackader and very soon there will be one on the 2nd floor of McLennan and another in the copy room in Redpath 17

Note: this ID/password and Spirit scanner option can also be offered to visiting professors, as there is no charge involved.

Important uPrint Update: troubleshooting with free cards + faculty copying information

Free uPrint Cards to give away, when needed

In order to help users who may be facing uPrint challenges, each branch will be allocated small denomination cards to help walk-in users (like visiting parents or scholars) print small jobs quickly and easily. This week, each branch will receive approximately fifteen x $2.00 cards. Next week, Printing Services will provide us with a similar number of $1.00 cards. Please see your branch head regarding the distribution of these cards.

If you have a client that is experiencing a printing problem which cannot be easily overcome, you can arrange to:

have them print on a staff machine OR
give the user a free $2.00 or $1.00 uPrint card
Please use your best judgment.

Faculty experiencing problems

At this point, most Faculty and staff access uPrint by simply using their McGill card which is attached to a department FOAPAL (budget account). 72% of all faculty and staff are set up automatically and should not have any difficulties. This is because they have just one FOAPAL.

The remaining 28% of Faculty have multiple sources of funding and multiple FOAPALs. These people are NOT set up automatically. This means that they must work with their “Key Financial Contact” in their Department and have it set up. Below are three options if you experience a situation where the faculty member cannot print due to an incomplete FOAPAL setup.

Feel free to give them a complimentary uPrint card to help troubleshoot.
If the struggling faculty member does not know who their “Key Financial Contact” we can help! The key financial contact list for faculty members can be found here (staff knowledgebase).
Ideally, it would be best if the Key Financial Contact was the first point of contact but faculty members can also contact uPrint staff directly (tel.: 514-398-6300, uprint.printing@mcgill.ca). uPrint staff will set the file up for them.
