Phase ll of the Campus Printing Project
The removal of the rest of the old “public” Kyocera printers will be replaced by Multi function devices that can print and operate as copiers. They will all continue to operate on the copy card system until June 2010.
This will begin on Monday, December 14, 9:00 AM in the Cyberthèque followed by HSSL’s and Blackader’s printers . The old printers will not be disconnected until the new ones are working.
After installation of the new Xeroxes, any problems can be reported directly to the ICS Help Desk at 3398 or customersupport.ist@mcgill.ca

Select class notes provided by McGill’s Note Taking Club are available for purchase through Copy Service.
While NTCs are organized by many student societies at McGill, only notes for Biology and Micro-Biology are sold at Copy Service. The individual student groups organize the sale of notes for other classes.

NEW PROCEDURES for 24 HOUR ACCESS
TO ALL STAFF:
NEW PROCEDURE 24 HOUR ACCESS, Security and Cleaning
We will expand the space in the Humanities and Social Sciences Library that can be used by our students for extended 24 hour study.
In addition to the Cyberthèque and the main floor of the Redpath Library Building, the main floor ONLY of the McLennan Library Building will be accessible 24 hours.
Between Security and Facilities they will follow these steps:
1. Sweep through McLennan Floors 2 through 6 at the usual time and move the students down to the 24 hour zones – Cyberthèque, Main Floor Redpath and Main Floor McLennan.
2. When the Cyberthèque is closed for cleaning at 12:45 until 3:00 am, the students can move to the main floors of both Redpath and McLennan.
3. After 3:00 they can stay where they are or move back to the Cyberthèque
4. Students will need to move out of the McLennan main floor area for cleaning at 7:00 am
5. A guard will be posted at the elevators and steps in the McLennan lobby in order to stop students from entering the upper floors.
We will bring up to date if there are any changes.

EndNote X3
EndNote X3 has been installed in all the computers at the information./reference desk. We are doing it in advance of the re-imaging of the public computers, because we need to test for glitches. Public computers will start getting this version starting on the 2nd week of December.
The X3 version is very similar to X2 so you cannot notice differences at first sight. If you are helping students at the desk, the differences will not be obvious in the majority of cases.
Cornelia and I will appreciate two things from you:
First, it is important that you don’t customize any of the aspects of EndNote. If you need to show how to modify files, styles, etc. or any other customizable feature, please do it either in the clients’ computers or show it but do not save the changes.
Second, please report to us any problems you experience with the program: the direct downloads, the filters (or lack of them) and the citation styles. We will place a page for this reporting in the “Work on these” tablet. If you can’t figure out what the problem is, please call either Cornelia or me, so we can come out and troubleshoot. In fact, we don’t expect any major events. This is just in case you need us.

Microforms reading room moving
The HSSL microforms reading room will move to its new location, Room M2-37F (the old Government Documents A/V Room, adjacent to the current room), on the morning of Thursday, November 26. This new location is just in front of the Government Information Service desk, making it easier for clients to seek assistance. During the move (8:00-13:00), the microform equipment will be unavailable. Please let me know if you have any questions. An announcement will be put on the website.

Redpath Basement Storage Serials - Update
The change in location and updating Holdings of the formerly Life Science Serial collection (Currie Gym) is work in progress.
Brenda Stevenson (Serials – Collection Services) has been instrumental in making changes and ensuring that all unbound issues (hundreds of them) are properly identified in the Holdings statement.
At this point in time approximately 1/3 of the collection has been completed.
This is how the record looks in Aleph Circulation once the change has been made.

We are getting queries for titles that have not been changed to Redpath Location. (see e.g. Sub-Library, Collection; Call Number and Status)

You can assist patrons locate the title by consulting the spreadsheet in the U common drive (U:\Lending and Access HSSL\Common\Redpath basement Currie Gym). Select excel file – “RPB-Journal record after shifting” - listing titles in the order they are shelved.
You will also need to consult the Word document – “Redpath Basement Serials Range Entries” which gives you the range of titles in each row.
Range markers have been posted in each row to indicate corresponding “range entries”.
This will enable you to pin point where the title is shelved in a particular row number.
Please let me know if you need to consult one of the files or need to find your way in the Serials section.
PS I am attaching the relevant files if you unable to access the U drive. However, these files get updated on a regular basis.

Contact information for printers and photocopiers at HSSL - Clarification
As requested below, this applies only when neither Klaus or Henry are on duty. They’ll follow up as usual on malfunction, jams, etc. of all public service equipment, including public desks computers, so don’t forget to copy them if you report a malfunction outside their service hours.
Problems with printers, including lack of paper and major or continuous paper jams must be reported to support.printing@mcgill.ca. For minor paper jams Klaus, Henry and the SNs have a key to open the printers.
Ancillary Services are also responsible for refilling photocopiers with paper. There are many photocopiers and students have plenty of choice. Reports about paper jams and lack of paper should also be sent to support.printing@mcgill.ca .You can also call 3252 or, in a real emergency (no photocopiers working at all) Essam has offered to come. He has the key to all photocopiers. His phone is 514 702-0447

No loans supervisor on duty?
We are reminded that on the occasion when there is, for an extended period of time, no supervisor on duty at the loans desk, the Liaison Librarian(s) at the Info Desk assumes the supervisor's role.
It is understood that we are not expected to resolve Loans issues or problems, and that we thoughtfully and politely defer. That is, we are to suggest that the issue or problem be brought to the attention of a supervisor at the earliest convenience (i.e. usually, the next day).

SN Rovers 5-8pm and weekends 2-5pm
As of this week (Sept. 28- ) the Student Navigators have started "roving" from 5-8pm on weeknights and Sat-Sun 2-5pm. This means there is someone you can call on to help patrons find books in the stacks or clear paper jams in the computer printers (photocopiers are the responsibility of Ancillary Services).
There are 2 sets of walkie-talkies near Pam's desk, one of which should always be fully-charged for use. Please ensure the student has one, set to frequency 3, and keep the other at the Info Desk set to the same frequency. You can call them by pressing the Call button, and then talk to them by holding down the black rubber button on the left side of the device (let go so you can hear them talk to you). They will circulate throughout the stacks and the main floor of HSSL, looking for patrons to help, and can also be called to a specific location.
Please note the time when they start and end their shifts and initial, on the back of their timesheets. There will be a copy of their schedule kept at the info desk, so you will know who to expect.

AMLF Language Lab Access After Hours
Students wanting to use the Language Lab downstairs have been coming in the evening and weekends to ask how to access the lab, which they said was locked.
The current person in charge , Sylvie, just called to say that all students registered in language courses have access to the lab via the card reader. If the reader doesn’t allow them to enter, then it means they are not eligible for access. Apparently some students didn’t read their instructions about how to access the lab. These have now been posted in the AMLF website and on the door.

MyResearch graduate library seminar series
The CCS person adding the courses into Minerva, has just rung to say they will be ready for registration by the end of today [Sept 22].
I have asked for a line to be added to the Library's workshop page, that directs students to Minerva to register and asks them to use the course code FIGG.
If you would pass that information on to other librarians in your area, and to any students who ask, that would be great.
Tomorrow we will send out a general note to graduate students confirming this, but this keeps you in the loop!

The ICS Service Desk is responsible for technical support of the new Xerox photocopiers and MFDs which have been installed. Please report problems to them at the usual number: 3398. This is especially important because ICS is keeping track of the status of all Xerox problems.

HSSL room bookings

...we only have three training rooms in HSSL: Cybertheque class, e-class and Workshop M3-37A. These are bookable via eclass.library@mcgill.ca and only librarians can book them.
We also have seminar rooms, listed in the study areas page, http://www.mcgill.ca/library/library-using/branches/hssl/studyareas/. The criteria for booking reads:
Who can book the seminar/screening rooms
• Teaching faculty
• Department administrative assistants
• Department person in charge of booking classrooms
During the first 3 weeks of each term, only term-long class bookings are accepted.
After the first 3 weeks, bookings may be made for individual classes during term.

This is to remind everybody of the correct procedure for reporting problems with printers and photocopiers in our library.
1. Verify if there is a local technician on duty at the time of the failure and ask him to place a ticket and follow up. It is better that the contact with Ancillary Services should be either of our local technicians. They are the ones who can follow up, as we are at the desk for only a small period and not every day. Please consult the weekly schedule and give them the information.
2. Monday to Sunday from 9 am to 9 pm, If no technician is on duty, use the information in the technical support contact list at the desk. We can call 398-3252 for prompt action. Somebody in Ancillary is suppose to have the phone forwarded to them. Or better, send an e-mail to Ancillary services, with copy to Klaus or Henry, whoever is going to be on duty the next day in the morning.
3. Please report ongoing problems to me, as I am the representative of our library in the ITSOC committee that oversees, computers, printers and photocopiers.
This morning problem with the printers is twofold.
Apparently printing from the Acrobat reader was set by default to legal size and the printer run out of legal size papers.
Also, as every year, some documents in WebCT are set to a size that is neither legal nor letter size. As we all know, this causes the printer to stop and ask if we want to print in other paper. All that we need to do is press the down arrow and press go. Apparently the instructions that were placed by the printers last year are gone. We’ll request to Ancillary to create new ones.
A last reminder: Klaus, Henry and the SNs have a key to open the printers and clear minor paper jams.
If something is unclear or you have any special concerns, please come to me before writing or copying the Associate Directors or the person responsible in Ancillary.

Microforms room unavailable until August 10

This morning Michelle was informed by the electricians working in the Microform Room that the room will remain unavailable until at least the end of the day due to the extensive work that has to be done.
As they were not sure of the time of completion beyond today, Gov. Docs will put up a sign indicating the unavailability of the room until Monday, Aug. 10.
Debra has designed more signs with different dates to replace the current one should the electricians’ work be completed sooner than Monday.
Should users need to read microform material the following libraries have been contacted and we can direct users to one of the following:
Schulich - 1 microfilm reader – With photocopy ability Life Sciences – Osler Library – 1 microfilm reader - With photocopy ability Law – 1 microfilm reader – With photocopy ability Music – 1 microfilm reader – With photocopy ability

We have acquired the 7th edition of the "MLA handbook for writers of research papers".

ICS Walk-in Services are moving June 17-19, 2009
The ICS Walk-in Services will be moving from Redpath Library to 688 Sherbrooke West, Room 285 (south-west corner of University and Sherbrooke, to the right of the elevators on the second floor).
Walk-in services include:
* General IT Inquiries (Walk-in Service Desk)
* Audiovisual Equipment Loans
* Academic Laptop/Tablet Support
* Laptop/Tablet Repairs
* Software media pick-up (for McGill licensed software)
The move will take place from June 17 to June 19. Please take note of the following interruptions/changes during the move:
* The Walk-in Service Desk will remain open in Redpath, room 22 on June 17 and will be located at 688 Sherbrooke, room 285 on June 18.

Eduroam
"McGill University is a member of eduroam (EDUcation ROAMing), an authentication service allowing users (researchers, teachers, students, staff) from participating educational institutions to securely access the wireless network of any eduroam-enabled institution by using the same credentials they would use at their home institution. Connecting through eduroam provides basic network connectivity for web browsing (HTTP), secure shell (SSH) and VPN access."

2. If you press 2 you will be directed to our Administrative Secretary for general information or for Lost & Found issues.
3. If you press 3 you will be directed to the LENEL Security group, where you will speak with one of our technicians.
4. If you press 4 you will be directed to the TIPS hot line, where you can leave us any kind of information anonymously.
Our goals is to our clients directed to the required service in a timely manner and leave the 3000 line reserved for emergencies only. At any time, you can press 0 and be directed to the 3000 line if you have an emergency.

Statistics Canada website not available the weekend of March 21-22, 2009

The StatCan website (excluding the Census module) will be affected by the power-down of the Main Computer Centre. On the weekend of March 21,2009 (instead of March 14), access to www.statcan.gc.ca will prompt a message stating that the site is not available due to maintenance. Visitors will be encouraged to visit the Census module during that period. We will also post a note on the home page a week in advance to inform them about the situation. We apologize for any inconvenience.

After hours technical support
This is a reminder that ICS has a technician on duty to provide technical support after hours as follows:
Monday to Friday from 5:00pm - 8:00pm.
Saturday and Sunday, from 12:00pm - 5:00pm.
*** For support, call 514-609-2700 or page 514-540-4881.
This service is for service desks workstations, public computers, and print release stations/print server connectivity. The after hours ICS technician doesn’t provide users’ support.
