Book Repair Procedures for Liaison Librarians August, 2007
Sources of books for repair:
-book return depots
- ILL
- stacks shelvers
- loans desk/reserves shelves
- suggestions from users
All material from the above sources, intended for REPAIR will be placed on a designated book truck in the McLennan returns area.
At regular intervals, all books will then be delivered to Nancy Crowe in the collections office who will charge the items to “in house repair”.
Nancy will then distribute the books to your collections shelves.
Liaison librarians will be expected to speedily and regularly check the shelves
and decide whether items require:
- replacement (single or multiple copy)
- rebinding
- repair or
- withdrawal or
- offer to another library/collection
There will be colour-coded flags, for the above categories. Place the appropriate flag in the book(s), initial the flag(s), and return them to Nancy who will then sort them onto the appropriate shelves in the collection office.
Remember that in making your choices you should be mindful of the following:
- is the item unique?
- how many copies do we have?
- how often has/have the items been borrowed?
- if we have sufficient copies can we withdraw?
Since the choices might not be easy or obvious, here are some guidelines or parameters.
Spine only if book spine is completely off or torn consider for repair
Hinges only if the hinges are loose or the book block is off the hingesà repair
Pages only if only one or several pages are cleanly separated from the rest of the book,
are not brittle, and can be readily inserted back into the book à repair
Spine and book covers if both are in bad shape or dislocated from the book block
BUT the pages are in good order (not brittle or falling apart) consider for rebinding
Pages and book if the pages and book block are torn, brittle, falling apart, and the book is held together by tape or string à consider replacement, or return to stacks boxed or withdraw
Replacement
Do preliminary search for replacement copy (YBP; Amazon; Global BIP; Alibris; Abebooks; etc.)
IF YOU FIND A REPLACEMENT COPY
-print out a copy of the replacement evidence and attach to
- a copy of the catalogue record of the item to be replaced and indicate with a note “REPLACEMENT” stipulating whether you want “this edition only” or “this edition preferred but other editions/reprints accepted” and also note whether you want more than one copy.
IF YOU DO NOT FIND A REPLACEMENT COPY
- print out a copy of the catalogue record of the item to be replaced and indicate with a note “REPLACEMENT NEEDED”
- collections staff will keep a file of these titles and they will be searched regularly.
- the existing copy in hand will be returned to the stacks
If no replacement is readily located and the item is in disrepair , it will be boxed before it returns to the stacks.
If a replacement copy has been readily located the item will be returned to the stacks “as is” pending receipt of the item.
When a replacement copy is received, collections staff will be notified by Acquisitions and the item will be removed from the stacks and withdrawn.
If Acquisitions reports that a replacement cannot be found, the notification will be forwarded to the librarian who will decide whether the item:
- should/can be rebound OR
- item will be retained on shelf (and perhaps boxed, if not already) and the collection staff will maintain a desiderata list of items for subsequent replacement searches
If the replacement is a RUSH item (e.g. for Reserves) the librarian must try to find a replacement copy immediately and submit the order ASAP.
Repair: Items that require minor spine or cover mending or page repair/inserts, flag them and these will be forwarded to Bruce Osler in the Reference. The catalogue records for items being mended will still be noted “in house repair”
Rebinding – should items require complete spine and cover replacement, flag them and Nancy will forward them to Michael Morin in the processing section of Acquisitions.
Withdrawals – If you decide not to replace, bind or mend an item, print a catalogue record of the item and note “withdraw”. These will be sent to Eleanor Turner in Database Maintenance for record changes/drops.
Offer to another library/collection: Items that may be more appropriate in other libraries will be set aside for perusal by Richard Virr (and others for consideration as appropriate).
Statistics will be maintained by Nancy Crowe for all incoming materials and for the separate contingencies listed above.
