CREPUQ cards

During the strike, CREPUQ cards for McGill users are being issued at the Loans desk.

From the September 1 update: Authorized borrowing card for professors/assistants and CREPUQ cards will be created for our CREPUQ colleagues ONLY at HSSL and Schulich, Monday through Friday from 10 to 6. M(Library Supervisors) to perform this task.

Sound on public workstations

Several students have reported that they aren’t able to get sound on public computers in Redpath and McLennan. Charles says that this is a known issue on the Dell 745 machines. He is trying to push out updates that will resolve the issue. If students report the problem, they can try rebooting the computer. If it still doesn’t work, they should look for a HP computer.

Charles hopes to have the issue resolved during the week of September 5.

New machines for guest photocopying

The Xerox technicians have set up the black and white Xerox devices on the main floor of McLennan and Redpath Room 17 so that Walk-in cards can be used on them as well as the 6400 devices. This addition to the machines will NOT be installed on the Cybertheque or Redpath Info-Commons machines.

PROCEDURE TO HELP MCGILL FACULTY MEMBERS WITH PHOTOCOPYING AND SCANNING
1.McGill professors who need to photocopy materials should be given a $2 card, if they don’t have one. These cards are a courtesy from the library to our faculty members until uPrint is available.

Because we need to report the usage, the form below will be created on the desktop of the computer in the center of the desk, with the name uPrint.

The User IDs will be entered when the cards are received. The file should be kept closed when no transaction is being recorded.

When we give out a card to a professor, we open the file, write down her/his name and the short date in the line corresponding to the ID number. Then we save the file and close it to prevent accidental erasure of information.

The cards are in a diskette box in the locked drawer where the keys are.When there are 2 ID cards left, Anna should be ask for additional cards, whose numbers should be added to the form.

Anna will copy the file in the U: drive weekly for future reporting.

2. McGill Professors who want to scan and email will be provided an iD number/password so they can login to uPrint. This ID/password (which corresponds to a card with no balance left) will be printed in slips to hand out to them. Slips are in a plastic container.

Professors should be made aware of the alternative of using the Spirit scanner to scan and save in a USB key free of charge. There is a Spirit scanner in Blackader and very soon there will be one on the 2nd floor of McLennan and another in the copy room in Redpath 17

Note: this ID/password and Spirit scanner option can also be offered to visiting professors, as there is no charge involved.

Important uPrint Update: troubleshooting with free cards + faculty copying information

Free uPrint Cards to give away, when needed

In order to help users who may be facing uPrint challenges, each branch will be allocated small denomination cards to help walk-in users (like visiting parents or scholars) print small jobs quickly and easily. This week, each branch will receive approximately fifteen x $2.00 cards. Next week, Printing Services will provide us with a similar number of $1.00 cards. Please see your branch head regarding the distribution of these cards.

If you have a client that is experiencing a printing problem which cannot be easily overcome, you can arrange to:

have them print on a staff machine OR
give the user a free $2.00 or $1.00 uPrint card
Please use your best judgment.

Faculty experiencing problems

At this point, most Faculty and staff access uPrint by simply using their McGill card which is attached to a department FOAPAL (budget account). 72% of all faculty and staff are set up automatically and should not have any difficulties. This is because they have just one FOAPAL.

The remaining 28% of Faculty have multiple sources of funding and multiple FOAPALs. These people are NOT set up automatically. This means that they must work with their “Key Financial Contact” in their Department and have it set up. Below are three options if you experience a situation where the faculty member cannot print due to an incomplete FOAPAL setup.

Feel free to give them a complimentary uPrint card to help troubleshoot.
If the struggling faculty member does not know who their “Key Financial Contact” we can help! The key financial contact list for faculty members can be found here (staff knowledgebase).
Ideally, it would be best if the Key Financial Contact was the first point of contact but faculty members can also contact uPrint staff directly (tel.: 514-398-6300, uprint.printing@mcgill.ca). uPrint staff will set the file up for them.

Rare Books serials location in Closed Storage

I just learned from Sharon Rankin in Rare Books that some serials that appear in the catalogue as available for consultation are in fact in closed storage. If the location says “Rare Books/Special Collections – Serials,” that means that the volume is actually in storage in the McLennan basement. Clients have to go to RBD and fill out a request card, and then the volume will be pulled for them to pick up later.

iPads for Staff

We have now available, for staff borrowing only, 2 iPad and 2 iPad2. Staff from HSSL ,HRML, Islamic Studies and Rare Books can request this equipment . The loan period is 2 weeks, one possible renewal if no requests are pending.

Staff is asked not to use or display the iPads near the desks, where our library users could see them and start demanding to borrow them. Please contact one of the supervisors at the loans desk if you are interested in using an iPad. They will inform you of the procedure to follow.

The main purpose of the loan is to allow staff to familiarize themselves with the equipment. There are guided tours in video at http://www.apple.com/ipad/guided-tours/. If you need additional information, you may want to contact Maria Savova. It is possible that some introductory session might be organized if the demand requires it. Please be aware that only a few free apps have been loaded, but you can add more apps that you want to try for different applications from the apps store (credit card number is required, even to get free apps).

Those who borrow the iPads are responsible for taking good care of them. Replacement cost is about $850 - full retail price of the whole package (iPad, accessories, cover and pouch) + $150 administrative fees

The two printers that were inside the McLennan e-zone, by the iCare room, have been moved back to room 17 (ex photocopy room).

So one 6400 in McLennan e-zone, one in RM- 17 by the telephones and one inn Blackader for use by non-students.

Printer move

Please be advised that Printing services is relocating the MFDs that were in the Redpath photocopy room. All the machines have been moved but not all of them are yet operational.

There will be two MFDs Black and White in all the floors in McLennan and one additional B&W and one additional colour 6400 in the McLennan Reference area. This will make it easier for our users to remember that they can now retrieve their print jobs from anywhere where a Uprint MFD is located. It will also make it easier for non-McGill users and Staff to determine which 6400 is readily available in McLennan. These users can also go to Blackader where another MFD 6400 is available and the material doesn’t need to be signed out to get there.

Just a reminder that all printing cards have their ID and password verified. Users need to make sure that in entering the characters they don’t press more than one key at the same time or press so long that the character is entered twice. These are the main reasons why they get a message about incorrect ID or password.

Finding the Economist:
1. In print. McGill has two subscriptions to the weekly print edition: one in HSSL and one in Howard Ross. The latest issue should be displayed in the journals rack of each library, as latest issue is not to be borrowed. Earlier issues may or may not be on the 5th floor in a box (this magazine is classified as Folio, hence 5th floor). Today, June 9, we should have on display in HSSL the issue of June 4 according to the catalogue. As usual the latest issue is not there, but I saw 3 of the May issues (which should have been removed!). Loose issues always play this disappearing act, and The Economist is the champion on this game. Latest issue is never there. So, other options?

2. Online versions
a. Access via SFX dialogue box offers 6 links, the first link (The Economist) and the third one (Ejournals) take to the online version which has a link to the print version on the web. Please note that the latest issue there is JUNE 11. The first link should also provide access to the EIU version html with graphs.

b. Three other links take to the html version (no graphs) in Expanded Academic, Proquest Research and Proquest ABI. Latest issue will not be available FT in these.

c. The last link takes to the Historical archive. The catalogue says up to 2003, but in fact the current access is to 2006. A new platform with improved search engine will be available in August and will include up to 2007.

d. More locations not listed in the catalogue. The Economist is also available in some of the EBSCO databases (last issue embargoed. EBSCO will cease to carry it in May 2012). And it is in Factiva both as archive and in the News Pages tab for the UK (last 4 issues). Factiva also has June 11. I think we will find that Lexis also carries it

Printing with uPrint using a Prepaid card


1) Buy a prepaid card at the Memberships desk in Redpath:
2) Log in to a computer in McLennan Reference on the main floor and open the documents you wish to print. You cannot print from the computers in an e-classroom, in Redpath Info-Commons, or in other classroom-designated study areas.
 If you have a McGill email account, you will be able to print while logged in with that email address. You do not need to sign in as a guest. This applies to staff, alumni, students with account holds, etc.
3) When you press File > Print,
do not print to the default driver. Instead, from the driver menu, choose
uPrint Mono [Popup] for black and white jobs
(10 cents / printed side),
or
uPrint Colour [Popup]
for colour jobs
(33 cents / printed side).
It must say Popup !!


4) One you press print, this popup
window appears.
Enter your user ID found on your prepaid card and press Print.

A small confirmation box will appear in the right bottom corner of the screen.
5) Go to the Xerox to release your job.
Prepaid card users can only print or copy at the Xerox 6400 model machines.
There are three 6400’s available in this building where you can release your job or photocopy:
 Redpath Info Commons,
 Redpath 3rd floor (Blackader-Lauterman)
 McLennan Reference main floor
Note that while you can release jobs at these locations, prepaid card users only have access to print from the computers in McLennan.
6) Sign in to the machine by pressing “Keyboard Access” and entering the user name and password on the prepaid card. You will then have the option to Copy, Email (Scan to email to McGill email addresses only), and Print Release. You can also see your balance under Print Release. When you are done, do not forget to log-out of the machine.
7) COPY CARD REFUNDS: You can exchange your old (grey) copy card for a uPrint prepaid card at the Copy Service counter from May until December 2011. The value on the old copy card will be exchanged for a new prepaid card but not the 2$ value of the (old) card itself.
8) PRINTING PROBLEMS: Call 514-398-3398 for Support.

Jessica from printing stopped by the desk to distribute a new information sheet ... for clients using a prepaid UPrint card. It includes an important clarification for faculty and staff, alumni, students with account holds:

• If you have a McGill email account, you will be able to print while logged in with that email address. You do not need to sign in as a guest. This applies to faculty and staff, alumni, students with account holds, etc.

• Log in to a computer in McLennan e-zone or Cybertheque and open the documents/webpages you wish to print. You cannot print from the computers in the e-classrooms (McLennan and Cybertheque) or in Redpath Info-Commons.

New (last?) Update on Uprint

1. Colour printing. Only the Xerox WC6400 (1 in McLennan, 1 in Redpath e-zone, 1 in Blackader-Lauterman) can print in colour and in B&W (plus the WC7346 currently installed in Cyberthèque). Uprint says “We will add another WC6400 in Redpath room 17 soon (the order has been placed last week).”
2. Non-students with printing cards are limited to use the Xerox WC6400 for the moment. As this model also serves for B&W it cannot be labelled “colour printer”. Uprint relies on students having read their e-mails and looked at the posters and flyers distributed. Uprint says “… we are still expecting positive developments from Xerox in order to allow access for non-McGill users on the WC5655 over the next few weeks. Finally, the staff solution being coming over the next few months that will mean that the McGill professors will be able to access all machines.”
3. All holders of the previous printing cards are now getting a reimbursement. Students get credit in their Minerva and everybody else gets printing cards (2$, 5$). Uprint says “The refund process for all users currently in place on the bridge at MCL will end at 5PM on April 16. The week after we are moving to Mac campus. Starting May 2, the service will be offered at Copy Service until August 31.
4. There seems to be some computers in which the Uprint driver didn’t [in]stall properly. Print jobs sent from these computers will not lshow on any queue. If you come across sucha a case, please ask for the computer number and report to Klaus or Henry so they can place a ticket.
5. [6400 print command cannot be stopped] Did you ever see that movie about the intelligent building that shut itself completely and nobody could go in or out? Well, at least the 6400 are that type of intelligent machines (maybe the others too). Once a user presses “print” it is not possible to stop the job. I have been told that even unplugging the equipment doesn’t solve the problem and the full amount is charged to the users. Only Xerox technicians have admistrative rights to stop the job.

Printing tip

If a student's print job seems to be stalled, and their list of print jobs refuses to appear, ask the student if the popup appeared on their computer when they sent the job. If not, then the job didn't go through and the computer is at fault and must be reported.

We were having a problem like this. The students sent the jobs (they thought), but they didn't realize they had to see the popup.

I know we're fixated on the popup, but they are not, apparently, so remind them that this is their confimation that the job has indeed been sent.

Uprint update

Here is an update about Uprint (to the best of my knowledge)

Students. No problems here, except that some of them don’t read the instructions. Copying and emailing are very clear but retrieving print jobs is not, as it is labeled Custom services. So this last one is the option they have to choose. And they don’t have to stay in line to retrieve their jobs. They can go to any machine on campus that has the Pharos ID recognition system.

Not McGill students (including McGill professors and staff, visiting scholars, and McGill students whose account is blocked )
At the present time their options are very limited

1. There is still 1 photocopier in the photocopy room (to the right between the cabinets) that has the card reader and will take the old cards for photocopying. Once the cards have no value left, they cannot be replenished.
2. EXCEPT in the e-classroom, regardless on how they have logged in, all users can choose the popup options (uprint mono or uprint colour) and retrieve their print jobs to be paid with a printing card from the Xerox 6400 MDF (multi-functional device). At the time of sending the print job they must authenticate the print job with the ID of the card and then authenticate themselves with the same ID name and password at the printing station. McGill persons who use their name/password cannot be recognized by the machine. This has been an extended error that made us believe they could not print.
3. There are only 3 MFD in the McLennan-Redpath complex which can handled ID/password from the printing cards: one in Blackader, one in the Redpath e-zone (info commons) and one in McLennan e-zone. Printing services is working on fixing the glitch that prevents the other MFDs from recognizing the printing cards. Fixing may happen any time between now and the end of summer!
4. We are aware that these MFDs are very slow and have a small screen, but we must live with it for the moment.
5. We have had some students whose print jobs appeared in the queue, and yet they would not be released. This seems to be due to the fact the paper size was not either letter or legal. So if somebody complains that their job is not coming out, ask them to double check their paper size.

Tech support

Please call Klaus or Henry during their work hours. When they are not here, we need to call 3398 or send a ticket to ICS. Today and tomorrow there will be a person from Printing services in the library, probably around the McLennan ezone You can call 3252 (Jessica) in case you don’t find anybody or need that this person go to the Cybertheque.

I hope no major problems will arise on Sunday, but if necessary, I’d suggest trying to enlist the ICS library support during weekends (cell and pager on the phone sheet). They are not directly responsible for this campus project, but we can ask them for help, as a special favour.

Reimbursements
1. New cards cannot be returned for reimbursement to us, as the persons who bought them already have seen the name and password. Unless they can prove that the password is incorrect, there is no reason for reimbursement, that will have to be done by ISC – Sherbrooke 688. Persons who complained it didn’t work were trying to use the other MFDs, not the 6400. Therefore it is very important that at the present stage all card buyers are informed about this not so small detail.

Old cards in the hands of McGill students will start being reimbursed next week . Refunds available at McLennan Library (on the Bridge) March 28th-April 16th Monday to Saturday 10:00-5:00pm “ . Times and locations are announced in the Uprint website. Other users will have to wait for further announcements. Meanwhile, as I said earlier, they can still use them for photocopying in the copy room.

Lost and found

Please give to Anna di Pietro any card found near the printers or inadvertently dropped by a user. Do not keep it with other lost and found or give to the guards.

Uprint

As of tomorrow all printers and photocopiers in the McLennan-Redpath complex will be in the Uprint network. Here are some things to remember (others will probably be added later)

- Non-McGill users can buy pre-charged cards for $5 or $10. The card indicates in small print how much real printing value they have, once taxes are deducted. These cards can be bought, starting tomorrow, at the Memberships counter in the library,and are not rechargeable.

- Non-McGill users need to retrieve their jobs from the colour printers (Xerox 6400) only at this point. Therefore they need to select from the print pop up menu uPrint Color (Popup) and not the default uPrint Mono (Popup) option When they select and send a print job they have to write in username as indicated on the prepaid copy card.

Henry was told that the best way to print is for Guest to have a USB key with the documents which they want to print. When using a Word document the guest account does open up Word and they will be able to print from it. (needs to be tested)

Please remember that Uprint is a new, independent service. Copy service downstairs doesn’t have anything to do with this new service. Students who experience difficulties and fail to retrieve the job(s) they paid for should fill the form at http://webforms.mcgill.ca/printing/refunds.asp?bhcp=1 and the amount will be credited to their account.

There is no announcement yet about when the reinbursement for amounts in the copy cards will happen. Students will get credit on their Minerva account. Please tell clients to wait for the announcement of dates and places where they can request the reimbursement.

This student wanted to know if he could just go and borrow a book from their library.

After further investigation, and several links, I found this information:

'Scanner not found' problem

I just got this handy tip from ICS for when the scanners in McLennan say "scanner not found":

"Unfortunately those scanners have a known issue and the power plug must be removed and put back in order to reset the machine. Both tested successfully when that was done. They are old and should be replaced with newer scanners like the Canon 440 style ones, as we have those in other McGill libraries."

Troubleshooting McLennan scanners / Spirit Book Scanner

There are some things we need to keep in mind regarding scanners:

1. All recurrent problems with our equipment need to be known by Klaus and Henry so that they can monitor occurrences. Please remember that our technicians are available Monday to Thursday from 9 am to 6 pm (Wednesday until 10 pm) and Friday from 10 am to 10 pm. Any malfunctioning occurring during those hours should be handled by them who can either troubleshoot themselves or open an ICS ticket. Information desks should only send tickets, with copy to our technicians, if malfunction happens after hours or on weekends.

2. There are 9 scanners in the McLennan-Redpath complex, some with more advanced features than others. Please refer students to them.

3. Very soon we should , finally, see the campus printing project functioning. Then all multi-functional devices will scan and e-mail.

4. Don’t forget that there is an ICS technician on duty on weekends and early evening. You can call them on their cell or page them so we don’t have to wait until Monday for a resolution of small problems. Numbers to call are in our emergency phone list.

Spirit Book Scanner


Finally, you may have seen the announcement (http://www.mcgill.ca/channels/announcements/item/?item_id=171632 ) about the testing of the Spirit Book Scanner which scans books to a USB Key. It has been installed in Blackader and it would be great if we can direct students to use it, and if we ourselves try it.

Closed storage and reserves

Two items:

1. People wanting serial items that are listed in the catalogue --> "Closed Storage (Currently unavailable)" should be referred to the RBD service desk.

Richard Virr has suggested that they will attend to the requests.

2. Reminder that we should inform students to return reserves items to the loans desk before closing time and should not be returned in the overnight bins, else they will incur a fine.

An update/clarification on the procedure for requesting Architecture Student Papers from Blackader Storage.

Requests are made by filling out paper slip (“Storage Request Form”) at two locations: 1) HSSL Info Desk 2) BLDR Info Desk

Request slips are collected ONCE daily at 10:45am by Bruce. The material is then retrieved by Alessandra before 2pm.


If you receive a request at the Information Desk, you can tell clients:

Material is retrieved once a day, Monday-Friday

Requests received before 10:45 am will be available by 2pm SAME DAY in the Rare Books Reading Room

Requests received after 10:45 am will be available the NEXT DAY at 2 pm.

Scanning/emailing from public Xerox

From Klaus:

Scanning a file to email works from color printers in the main public reference area or in the Cybertheque. There seem to be no color printers in the Redpath photocopier room. The rule of thumb I use is 'if it doesn't have a card reader installed (for photocopying) then it's possible to scan and email from the machine'. This will no longer continue to hold true as later this term the ITC card readers are scheduled for retirement when the new campus printing using a McGill ID card replaces this system. If a more exact outlining of the policy is required, then an email to support.printing@mcgill.ca may be best.

(1) Location of HRMG Reference books
1. Due to lack of space in the temporary HRMG space (Bronf 425), the HRMG Reference collection had to greatly reduced. Only the most essential titles remain in Bronf 425; all the other reference titles have been integrated into the regular print collection on HSSL’s 4th floor and listed as Journal Loan (so that people may sign them out using the self-check-out machines). For various reasons, the display in the catalogue can be confusing. I apologize and will see if it can be clarified in any way. In the meantime, here are some ways to determine where a HRMG Reference title is:
1. All items moved to HSSL are listed in ALEPH’s Items module as belonging to the collection T-REF (as in Temporary Reference)
2. The items holdings list in the public catalogues should help clarify exactly where a specific item is (for example, when only the most recent issue of a serial publication is in Bronf 425)
3. The HRMG staff will produce a list of Reference materials that are in Bronf 425. We will leave this list at the HSSL Info desk for librarians to consult.

(2) Books that are listed as “in” but not found in the HRMG collection on HSSL’s 4th floor:
1. Refer searches to Peter Martinek:
1. Student or staff can fill out a book search request form (found at the HSSL info desk) to be given to Peter with student contact info and book info. Peter will create this form shortly.
2. A few triage questions to consider before filling in the form:
1. Check whether the book is part of HRMG collection or is, in fact, a HSSL item
2. Check that the student was looking on the correct floor (4th, not 3rd)
3. Check whether the student understands how to read a call number…
4. Recommend that the student look around the desks and carts on the 4th floor.
5. If the student doesn't find it then, I think the next step would be to explain that the book might be in use on another floor or waiting to be reshelved.
6. Check the circulation history of the book. Was it returned recently? Or – if early in the week - just before the weekend? In that case, it might still be waiting to be moved to HSSL 4th floor. HSSL circ staff could check the HRMG carts in the back.

(3) HRMG microfilm:
1. Located along the north wall of the McLennan 4th floor (outside the Digitization Group’s offices).
2. Cabinets are unlocked so students can retrieve microfilm themselves. If they are inadvertently locked, HRMG staff have the keys to unlock the cabinets.
3. Students can view them in the 2nd floor HSSL microfilm room
4. Students can leave the microfilms in the regular HSSL microfilm return tray to be picked up by Emile
5. Emile will return the HRMG microfilm reels to the HRMG returns cart in the HSSL returns area for HRMG staff to reshelve.

(4) Print material pick-up and shelving:
1. HRMG staff are responsible for daily pick-up on HSSL 4th floor (Monday to Friday only); any HSSL books found will be placed on the cart by 4th-floor photocopier to be picked up the HSSL shelving staff
2. HSSL staff are responsible for pick-up on all other HSSL floors. Any HRMG books found will be placed on the HRMG cart in the HSSL returns/sorting area for HRMG staff to retrieve and reshelve.

Howard Ross notes

I’ve been pestering Brian with some questions about the Howard Ross collection on the 4th floor. Here are some notes for the moment, but more info will be coming.

1. Microforms are temporarily housed with the rest of the Howard Ross Collection on the 4th floor of McLennan Building. They are located in cabinets lining the north wall of the floor. (When you arrive on the 4th floor, turn right to enter the collection, then turn left and go to the very end.) 3 cabinets, labeled “Dailies,” are dedicated to newspapers on microfilm. These were actually locked until yesterday, but they should be accessible now.

2. HSSL Loans will only be responsible for (1) signing out HRMG items that people borrow from the temp location on McLennan’s 4th floor and (2) checking in HRMG items, which will go into transit.

All other normal loan activities will be handled by HRMG staff at the Temporary Service Point on Bronfman’s 4th floor including:

(1) Recalls pick-up for library clients
(2) ILL request pick-up and return
(3) Macdonald intra-library request pick-ups and returns
(4) Rush requests for library clients
(5) Collection of fines
(6) Reserve loans/returns
(7) Laptop loans/returns
(8) a/v loans/returns
(9) eReaders loans and returns

We will also accept returns of library material for any other branch.

The Information desk in the temporary service point will provide the same services as now. [I copied that phrase from a message from Brian, but I think it simply means that they are providing reference services as usual in Bronfman.]

3. The question of what to do when a Howard Ross book is missing from a McLennan shelf is still being discussed…answers forthcoming.

4. As of today, the phones on the 4th floor of Bronfman aren’t working. However, if you call the info desk number, Graham and Jessica’s phones in McLennan will ring. Their personal extensions (as listed on the website) have also been transferred.
